1. What is the venue rental price?

Wedding day pricing can be viewed above for all date options.

2. What payment plans do you offer?

Full or Half Day Wedding Payment Plan:

  • 50% of the venue fee reserves your date (with your signed Venue Agreement) — this first payment is a non-refundable retainer that secures your date and our team exclusively for you

  • 75% of your total venue fee is paid by 6 months before your wedding

  • 100% of your total venue fee is paid by 90 days before your wedding

Elopement Package Payment Plan:

  • 50% of the venue fee reserves your date (with your signed Venue Agreement) — non-refundable retainer

  • Remaining 50% is due 90 days before your wedding

3. I'm having a small wedding. Is there a price difference?

Vista View Events is unique because we do not charge per person for venue rental. Our team gives every wedding, big or small, the time, love, and attention it deserves. You can count on our transparent, straightforward pricing regardless of your guest count. We do offer an Elopement Package for those interested in an incredibly intimate, private-ceremony vibe. If you're looking for an affordable option for a guest count of 50 people or less, we recommend looking at our Half Day Wedding Package.

4. I'm having a church ceremony. Is there a price difference for only having a reception at the venue?

We're very familiar with this style of wedding and frequently host couples who prefer a church ceremony. You'll still require all-day access to the venue for reception setup and decor, followed by the majority of the day being dedicated to the cocktail hour and reception itself. Our pricing remains the same for those not hosting their ceremony at the venue.

5. Do you offer any military or first responder discounts?

Yes! We love to give active military or emergency first responders 10% off their venue rental fee. For clarity, we define emergency first responders as firefighters, police officers, and EMTs who are among the first to arrive at an emergency scene to provide immediate assistance, secure the area, and deliver initial care (first aid, CPR, etc.).

6. What is the refundable damage deposit?

A refundable $1,500 damage deposit is due at your final walkthrough (cash or check). As long as there's no damage (which we never anticipate!), you'll receive it back within 10 days after your wedding. Elopements do not require a $1,500 refundable damage deposit.

7. Do you require wedding insurance?

Great question — we sure do. Our couples love this because it's extra peace of mind for such an important celebration. The cost depends on a few things, but you can anticipate spending between $180 and $225 for your insurance. You can get your policy through places like WedSafe, WedSure, and EventHelper.

8. What is the venue's capacity?

The venue's fire code capacity is up to 200 guests. For maximum comfort, we like to recommend 175 guests or fewer. We also have our own maximums based on your wedding day:

  • Weekday (Mon-Thurs) or Half Day Weddings: up to 150 guests

  • Weekend Weddings (Fri-Sun): up to 200 guests

  • Elopement Ceremony: up to 20 guests

9. What are the exact access hours?

  • Weekday Weddings (Mon-Thurs): 12 pm – 10 pm (ceremony begins at 4 pm)

  • Weekend Weddings (Fri-Sun): 11 am – 11 pm (ceremony begins at 4 pm)

  • Half Day Weddings: 1 pm – 9 pm (ceremony begins at 4 pm)

  • Elopement Ceremony: 3 hours (exact 3-hour block determined between you and venue management)

10. Can I add hours to the half day wedding?

Hours cannot be added to the Half Day Wedding in order to maintain the budget-friendly option we've curated. If you need more hours, our Full Wedding Day Package is likely perfect for you!

11. Is the venue climate controlled?

We're a classic barn-style venue without climate control, which is why we host weddings during the prime season of mid-May through mid-October. We can absolutely advise on heating or cooling rentals to keep your guests comfortable if you'd like additional temperature control.

12. What does Harvey Gap Reservoir look like — will it be full for my wedding?

Great question, and one we love to answer honestly! Harvey Gap is a man-made, working reservoir — it supplies water to our surrounding community all season long. That means the water level naturally drops throughout the year: a June lake is big and full, while a September or October lake sits noticeably lower. Drought years (they happen here in Colorado!) draw it down even further, and we have zero control over any of it — the water belongs to the community, not to us.

Here's what we want you to know: your view will be beautiful in every season, but it won't always include a full lake. We've photographed the reservoir at different water levels throughout the year so you can see exactly what your month typically looks like — you'll find those photos here. Please take a good look before you book! We'd so much rather you fall in love with the real view than be surprised on your wedding day.

One more note: the reservoir isn't accessible from our venue. If you or your guests want to visit the water, you can do so through Harvey Gap State Park. Questions about what the venue looks like in your month? Ask us — we'll happily send photos from real weddings in your exact event month.

13. Are there overnight accommodations at the venue?

For safety and zoning reasons, we can't allow camping, RVs, motorhomes, or overnight stays. We'd be happy to recommend nearby accommodation options for your guests.

14. Do you require a wedding coordinator?

A month-of wedding coordinator is required for all Full and Half Day Weddings. Your wedding day deserves a coordinator who knows every inch of our venue. We work exclusively with Chelsea Cholas Wedding Planning (CCWP). Their Month of Coordination package is available at a discounted rate to Vista View Events couples at $1,950 — well below standard rates! Thank you, CCWP!

15. Why is the wedding coordinator the same price for Full and Half Day Weddings?

The wedding coordinator package is priced based on the comprehensive services and expertise provided, not by the hour. Whether your celebration is 8 or 12 hours, your coordinator provides the same level of professional support: detailed timeline creation, vendor coordination, setup oversight, day-of management, and problem-solving throughout your event. The value and scope of her role remains consistent regardless of your event length.

16. Is a ceremony rehearsal included?

Yes! Your 1-hour ceremony rehearsal happens the day before your wedding, from 9:30 am – 10:30 am. Just connect with venue management to lock in your slot.

17. How do we communicate our final wedding details to you?

This happens at your required final walkthrough, approximately 30 to 40 days prior to your wedding date. Along with your coordinator, we'll meet in person at Vista View Events — or virtually if that works better for you. You'll complete some prep work beforehand, and we'll guide you through all the deadlines so everything stays organized.

You'll submit your final guest count at your final walkthrough for accurate layout planning. For bar service, we'll need your drinking guest count 30 days before your wedding. We require a final walkthrough for all wedding packages (Full, Half, or Elopement).

18. What is your vendor policy?

All vendors must be professional wedding/event vendors with a liability insurance certificate provided to the venue. You can choose vendors from our Recommended Guide or hire your own vendors with venue approval prior to hiring. Please note that your vendors are responsible for the setup and breakdown of the service you hire them to provide.

Catering-specific vendor policy: All Vista View Events couples are required to hire a full-service caterer with a full team for food service, refills, and food cleanup, and to have a table-clearing team. This means the caterer is able and will clear all tables of their cocktail hour appetizers and dinner service.

Elopements are not permitted to offer food service due to the short event window. You may bring a small cutting cake.

19. What vendors should I think about as I plan and budget?

Every couple is different, so your vendor list will be unique to your needs and desires on the big day. But some example vendors to consider in your budget will be:

  • Professional wedding coordinator from CCWP (required exclusive partner)

  • In-house bar package from Vista View Events

  • Florals

  • Catering

  • Table linens

  • Photography/videography

  • DJ/music

  • Hair and makeup

  • Guest transportation

  • Any additional decor you want

20. Who provides china, glassware, and dinnerware?

The couple provides all china, glassware, flatware, and dinnerware, either through renting, purchasing, or getting it through your caterer. The venue does not require the use of real china or glassware, so you can save a ton of money by going the upgraded disposable route if that's a better fit. Remember that all rentals must go with you (or the vendor who provided them) on the wedding night. Vista View Events does provide all clear, upgraded disposable cups and flutes for all beverage service from the bar!

21. Does the venue provide music, sound, or AV?

Your DJ or live band (we welcome both!) will bring all music, sound, and AV equipment for your day. While we don't provide audio equipment, we can recommend great local entertainment vendors.

22. What is the bar and alcohol policy?

We carry a Tavern Liquor License. All bar and mocktail packages come from the venue and are a separate invoice from your venue rental. We have Cashless Bar, Hybrid Bar, and Hosted Bar package options. All drink packages have a 3.9% sales tax added. Click here for full bar package details. BYOB or personal alcohol is strictly prohibited at Vista View Events.

23. Are we allowed to have alcohol in the Getting Ready Suite?

You bet! This just needs to be purchased through the venue when you finalize your bar package. We also provide two complimentary bottles of champagne in the Getting Ready Suite.

24. Can we have snacks in the Getting Ready Suite?

Absolutely! Please feel free to bring any snacks you'd like to our Getting Ready Suite.

25. Who handles setup and cleanup?

We've got you covered! Vista View Events and your coordinator handle all setup of in-house or standard decor on your wedding day. Standard decor is defined as items you wouldn't typically hire other vendors for (for example, we're unable to set up furniture you bring, as you would normally hire a rental company for that).

At the end of the night, our team helps gather your personal decor items and place them at the venue entrance for easy loading. We also handle the final breakdown and cleaning/trash disposal at the venue, so you can exit smoothly after the grand exit! Your hired vendors will handle their own setup and cleanup of their items within the permitted timeframe of your access hours.

26. Is any decor prohibited?

To keep our venue beautiful, we don't allow:

  • Nails, glue, or sticky items on our white walls

  • Confetti, glitter, fake flower petals, or loose decorative items

  • Uncontained candles (real candles are allowed but must be in glass containers, tapers in glass chimneys)

27. Do you allow fireworks or sparklers?

Due to our wooded location, we're unable to allow any fires (fireworks, fire pits, etc.) or sparklers. But cold sparks are a great solution! They're beautiful, and some of the DJs on our Recommended Vendor Guide have packages for them. Ask our team for more details — we'd love to help!

28. Can we do a grand exit?

Absolutely! We love creative send-offs. Just keep our decor guidelines in mind — no fireworks, floating lanterns, or balloon releases. Need ideas? We've got plenty of photo-worthy alternatives to share!
